The client

Our client is one of the world’s largest airline groups with a portfolio of world-class brands and operations. Their fleet of 500+ aircraft serves more than 250 global destinations and carries more than 100 million passengers each year.

The challenge

Following a diagnostic review of HR operations, processes, and systems conducted by Change Associates, our client decided to implement a new HR Information System.

They asked Change Associates to help with the HRIS selection and implementation.


What we did

We began with a structured scan of the HR technology market. We identified a longlist of software vendors, reviewed each one against the client’s needs, and helped narrow it down to a focused shortlist.

To support formal supplier selection, we partnered with the internal procurement team to define requirements and draft a detailed Request for Proposal (RFP). This enabled a clear and consistent invitation to tender.

We reviewed the responses and attended the supplier presentations, advising on how each offering met requirements and highlighting areas with potential for negotiation.

At the same time, we worked with the client to build the investment business case, ensuring all the relevant costs were included (e.g. software licences, implementation costs, change management, internal support staff and ongoing third-party annual running costs) and identifying benefits. These included measurable savings, such as efficiencies from decommissioning legacy systems and reduced headcount through automation, as well as qualitative benefits, including improved management information to support decision-making and a better employee experience.

Our client chose Workday Human Capital Management for their new HRIS and asked us to help implement it.

We assembled a team experienced in HRIS implementation, Workday, and change management. The team advised on programme governance and resourcing, built a project plan, and led the implementation, coordinating the client team and third-party suppliers to ensure everything was delivered on time and to budget.

Subject matter experts were brought in to support areas such as testing and integrations.

We also contributed to Steering Group discussions, advising on risks and escalated issues as they arose.


The result

  • Go-live was delivered on time and within budget

  • Employees and managers were able to use the system successfully from day one

  • The client recommended Change Associates for additional implementation work across the Group
